Who is responsible for your data

Accel Solutions LLC is the data controller for the personal information described in this policy. That means we decide what personal data is collected through StokTrack and why. If you have questions about how your data is handled, you can contact us using the details at the end of this page.

Information we collect

We collect the information you provide when you create an account, invite team members, or use StokTrack to manage inventory. This includes your name, email address, login credentials, company name, support messages, and the inventory data you add to your workspace (such as SKU details, quantities, cabinet layouts, and photos).

We also collect basic usage information and technical data, such as your IP address, browser type, device identifiers, and pages viewed, to operate, secure, and improve the service.

How we use your information

We use your information to create and manage your account, provide and maintain the StokTrack service, authenticate you, process your requests, prevent fraud and abuse, communicate with you about your account, provide customer support, and improve the product. We do not sell your personal information or your inventory data.

Legal basis for processing

Where data protection law requires a legal basis, we rely on: performance of a contract to create your account and deliver the service you have signed up for; legitimate interests to secure the service, prevent fraud and abuse, and improve the product; consent for optional analytics cookies and marketing emails, which you can withdraw at any time; and legal obligation where we must keep records, for example for tax or accounting purposes.

Cookies and analytics

StokTrack uses essential cookies to keep you signed in, and analytics cookies to understand how the site is used. We use Google Analytics for basic pageview analytics. You can manage or block cookies through your browser settings; blocking essential cookies may prevent you from signing in.

Data sharing and subprocessors

We share data only with the recipients needed to operate StokTrack:

• Stripe, Inc. ("Stripe") — our payment processor. When you buy a paid plan, Stripe receives and processes the personal and billing information needed to take payment, manage your subscription, issue invoices and receipts, and detect fraud. We receive back from Stripe limited details such as your subscription status, plan, billing email, and the last four digits of your card. Stripe acts as an independent controller for that data; see Stripe's Privacy Policy. We never see or store your full card details.
• Service providers and subprocessors — hosting, database and authentication infrastructure, file storage, analytics, and email delivery providers. These providers are contractually bound to handle data only as instructed by us.
• Professional advisers — legal, accounting, and tax advisers where necessary.
• Authorities — where we are required to disclose information by law or to protect our legal rights.

Data retention and deletion

We keep your data for as long as your account is active. If you delete your account or ask us to remove your data, we will delete or anonymize it within a reasonable time, except where we are required to keep it for legal, tax, or security purposes — billing and tax records, for example, are retained for the period required by law.

International transfers

Our providers may process data in countries outside your own, including the United States. Where personal data is transferred out of the UK or EEA, we rely on appropriate safeguards such as Standard Contractual Clauses or an adequacy decision.

Your rights and choices

You can update your account information, manage team members, and delete inventory data from within the app. Depending on where you live, you may also have the right to access, correct, delete, restrict, or port your personal data, to object to processing, and to withdraw consent at any time. To exercise any of these rights, contact us at the email below; we will respond within one month. You also have the right to complain to your local data protection authority.

Security

We use industry-standard practices to protect your data, including encryption in transit, access controls, and regular security review. No service is completely secure, so we encourage you to use strong passwords and keep your account credentials safe.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version with a new "last updated" date. Continued use of StokTrack after changes means you accept the updated policy.
