How to organize a parts cabinet

Most parts cabinets start the same way: one good intention, a label maker, and a few weeks later, total entropy. The fix isn't a bigger cabinet — it's a system simple enough that you'll still follow it on a Friday afternoon.
1. Empty everything out
You can't organize what you can't see. Pull every part onto a table and group by family: fasteners, electrical, fluids, consumables, spares. Toss anything broken, expired, or unidentifiable. Be ruthless — the unknown mystery part is almost never the one you'll need.
2. Decide on a single granularity
One SKU per bin. That's the rule. The moment you start mixing M3 and M4 screws in the same drawer, you've started the slow slide back into the spreadsheet hell you came from.
3. Map cabinets to how you actually work
Put high-frequency items at eye level and within arm's reach of where the work happens. Reserve top and bottom shelves for bulk, backups, and rarely-used spares. Group by workflow, not by alphabet.
4. Label twice — bin and SKU
The bin label tells you what lives there. The SKU record tells you what it is, who makes it, and where to reorder it. If either is missing, the system breaks the first time someone new walks up to the cabinet.
5. Set min levels and stick to them
For every SKU, define the minimum quantity that triggers a reorder. Without it, you'll keep discovering you're out of the one part you needed at the worst possible moment.
6. Make the layout visible
A photo or visual map of the cabinet on a tablet next to it changes everything. People stop guessing, stop asking, and stop putting the wrong part in the wrong bin. This is the whole reason we built StokTrack.
